How to use the data sheet

The sales data sheet is a collaborative tool that will sync members of your team. Everything in the data sheet is connected to the dashboard, and updates to the data sheet are automatically reflected in the visualizations. When everyone has access to the same data sheet, teamwork is accelerated and sales can be monitored quickly.

When a team member makes a sale, they should input the sales data in each column. The date of each sale can be selected from the calendar tool so dates do not need to be written out. There are also columns for client name, address, email, and the sale amount. These columns can be collapsed and expanded if a user does not wish to see them. Any of these columns can be left blank if preferred. There is also an optional notes column for each sale.

The commission amount can be quickly calculated with the data sheet. Input the commission percentage for each sale, and the commission amount will automatically be calculated based on the sale amount.

The data sheet uses dropdown menus to keep entries consistent. There are dropdown menus for the four key metrics of your choice. Examples of key metrics include sales person, sale status, lead source, and product type. Sale status might include processing, in transit, or delivered. Lead source might include client referral, cold call, and purchased lead.

How to change dropdown menus

The inputs for the dropdown menus can be customized to your team's needs. To adjust the inputs, simply move to the Dropdown Menus sheet. Then, add your desired inputs to the corresponding list, and the dropdown menus in the data sheet will update automatically.

How to use the KPI dashboard

The dashboard pulls all the data from the data sheet and organizes it visually. It includes a sales scorecard, a timeline chart, and charts for individual sales metrics such as status, lead source, sales person, and product type.

The dashboard allows your team to track sales through your preferred filters with the dropdown menus in the upper-left. Specific data can be displayed by the sales agent, by the status of the products, and by the lead source. The start month and end month can be adjusted as well via the dropdown menus. These filters update all of the tables and charts in the dashboard automatically.

The scorecard shows the latest month's sales data, including the number of sales, the average sale price, and the total dollar amount of sales. The percent change from the previous month is displayed below it. A sales increase is indicated by a green percentage, and a decrease is displayed by a red percentage.

The Totals chart shows all of the months in the data sheet. The largest numbers in this table are automatically highlighted darker than the lower numbers. This allows users to quickly see months that performed relatively better or worse. The grey progress bars represent the total sales amount in relation to the other months: the highest performer has the longest progress bar. Shorter progress bars indicate underperforming months.

There are four tables and pie charts for individual sales metrics. Each of the tables displays the number of sales, average sale amount, and total sale amount according to the filters that are selected. The progress bars indicate their relative performance. Longer progress bars are the highest performers, while shorter progress bars are underperforming. The pie charts show the percentage of each metric.

Pie charts can be resized and moved around as needed. This is helpful if a user adds additional items to the dropdown menus and makes the tables longer. Through adjustments to the pie charts, any additional text that appears in a table will remain visible.

How to change performance metrics

If a user wishes to track different performance metrics aside from those already included in the data sheet and dashboard, then edits should be made to the column titles of the data sheet and the dropdown menu lists. For example, if a user wishes to track "Customer Location" instead of "Lead Source", then they would rename the column in the data sheet and retitle the chart in the dashboard. Then, the user will update the inputs in the dropdown menu sheet. Other examples of performance metrics include "Customer Satisfaction" and "Subscription Status."

In this way, users can track and compare different metrics for a customizable KPI report. It's important to remember that any changes to inputs should be made in the dropdown menu sheet and data sheet. No data should be input in the dashboard itself, aside from updated titles for the tables.
