Synopsis

As soon as one or two attendees "dial in" to a virtual meeting, productivity starts to suffer, because attendees often interpret virtual meetings as a license to multi-task, "Harvard Business Review" reports. Now that remote work is the new norm, it's especially important to run effective and proactive meetings. Communicate this to your team with our Virtual Meetings deck. To make the task easier for you, we added simple rules and technical instructions to the slides.

The principles of effective and proactive meetings can be applied to other aspects of remote work by promoting clear communication, setting clear expectations, and encouraging active participation. Just like in meetings, these principles can help in ensuring productivity and efficiency in other remote work scenarios. For instance, clear communication can help in setting tasks and deadlines, while active participation can ensure that everyone is on the same page and working towards the same goals.

Some potential drawbacks of virtual meetings include decreased productivity due to attendees' tendency to multi-task, technical issues, and lack of personal interaction. These can be mitigated by setting clear expectations for participation, providing technical instructions and support, and incorporating elements of personal interaction where possible.

There are several ways to make virtual meetings more engaging and interactive. First, set clear expectations and guidelines for participation. Encourage attendees to turn on their cameras to foster a more personal connection. Use interactive features like polls, quizzes, or breakout rooms to keep attendees involved. Incorporate visual aids like slides or shared documents to keep the meeting focused. Lastly, allow time for questions and discussion to ensure everyone's voice is heard.

Slide highlights

With this slide, share the basic ground rules for all virtual meetings held at your company, such as muting mics when the team members are not speaking, having video on or off (depending on your company policy), etc.

For your convenience, we adjusted fonts to be larger than our usual font sizes. Considering that your audience will now be viewing these on a desktop or laptop instead of a full-size projector, this should improve the experience.

Let your team know that they should always send (and receive) a meeting agenda in advance. This way, everybody has a better sense of control and enough time to better prepare for the meeting and actively participate.

The success of a virtual meeting can be measured in several ways. One of the most common methods is participant engagement, which can be gauged through the active participation of attendees, their contribution to the discussion, and their understanding of the meeting's objectives. Another way to measure success is by the achievement of the meeting's goals, which should be clearly defined and communicated before the meeting. Additionally, the effectiveness of the meeting's organization, such as adherence to the agenda and time management, can also indicate the meeting's success.

There are several ways to engage team members in a virtual meeting. First, ensure that everyone understands the basic ground rules, such as muting mics when not speaking and having video on or off depending on company policy. Second, send a meeting agenda in advance so everyone can prepare and actively participate. Third, consider using larger fonts for presentations as your audience will be viewing these on a desktop or laptop instead of a full-size projector. Finally, encourage active participation and open communication during the meeting.

The rules of virtual meetings can be adapted for different types of meetings by considering the purpose and participants of the meeting. For instance, a brainstorming session might require everyone to have their video on for better interaction, while a large-scale company update might be more efficient if everyone except the speaker is muted. Additionally, the use of different tools and features can be adapted depending on the meeting type. For example, a training session might make use of screen sharing or whiteboard features, while a project update might require file sharing capabilities.

Overview

As our homes and workplaces are merging together, the borderlines between our personal and professional lives are blurring too. That is why it is crucial to follow virtual meetings etiquette. A business communication platform, Slack, provides the following guidelines for remote meetings protocol:

  • Introduce everyone during the meeting, and give everyone a chance to contribute
  • Don't stare at your phone while other people are presenting
  • Don't interrupt other people when they're speaking (or attempt to speak over them)
  • Test all technology (including camera/video, Wi-Fi, and screen sharing) before the meeting
  • Read the agenda, and come prepared
  • Don't work on other tasks (like checking email) during the virtual meeting
  • Turn off all notifications and make sure your cell phone is on silent
  • Make sure all team members are in a quiet area free from unnecessary distractions

Virtual meetings can enhance team collaboration by allowing team members to connect and communicate regardless of their physical location. They can foster a sense of unity and shared purpose, as everyone can contribute their ideas and feedback in real time. Virtual meetings also enable teams to work on tasks together, share screens for demonstrations or presentations, and use various tools for brainstorming and decision-making. However, it's important to ensure that all team members are familiar with the technology used, that they have a quiet and distraction-free environment, and that they are fully engaged in the meeting.

Some tools that can enhance the effectiveness of virtual meetings include video conferencing software like Zoom or Microsoft Teams, collaborative tools like Google Docs or Trello, screen sharing tools, and project management tools like Asana or Slack. It's also beneficial to use a stable and reliable internet connection, a good quality camera and microphone, and a quiet and distraction-free environment.

The effectiveness of virtual meetings can be measured by several factors. These include the level of participation, the clarity of communication, the achievement of meeting objectives, and the technical quality of the meeting. Feedback from participants can also provide valuable insights into the effectiveness of the meeting.

Application

Slack also offers a comprehensive guide to remote meetings. Here is what to do, the Slack team says:

  1. Choose the right virtual meeting tool – there is plenty of technology out there that makes the process of running an online meeting easier, faster and more collaborative – the key is figuring out which of these tools is right for your team.
  2. Lay the foundation for successful virtual meetings – this includes getting comfortable with people the team hasn't met in person; getting to know other members of the team and their expertise; making people feel like they are an equal and integral part of the conversation; identifying any potential issues when it comes to communication styles or differing points of view ahead of meetings.
  3. Set an agenda and agree on remote meeting guidelines – it's important to create a clear meeting agenda that includes: key talking points, meeting structure, team members or teams that will be in attendance, what each team member or team is responsible for bringing to the meeting and any relevant documents, files or research.
  4. Keeping everyone engaged – this means making time for casual conversation, having everyone introduce themselves, assigning each member a job, so no one feels awkward and keeping introverts involved.
  5. Follow-up – make sure after the meeting everyone has a good idea about deliverables and next steps and understands who's responsible for following up on each item or task, when the deliverables are due and when the next meeting or check-in will take place.

A team leader can ensure that the meeting ends on time by setting a clear agenda with specific time slots for each topic. This agenda should be shared with all participants before the meeting. The leader should also keep track of the time during the meeting and gently steer the conversation back to the agenda if it strays off topic. Using a timer or alarm can also help keep the meeting on track. Lastly, the leader should encourage participants to keep their comments brief and to the point, and save any off-topic discussions for after the meeting.

There are several ways to handle distractions during a virtual meeting. First, ensure that you have a quiet and comfortable space to attend the meeting. Turn off any unnecessary notifications on your devices. If possible, use headphones to minimize background noise. During the meeting, stay focused on the agenda and participate actively. If you find your attention drifting, take a moment to refocus. It can also be helpful to take short breaks during long meetings to refresh your mind.

A team leader can ensure that the meeting agenda is followed during a virtual meeting by setting a clear agenda that includes key talking points, meeting structure, and responsibilities of each team member. The leader should also ensure that all relevant documents and files are shared in advance. During the meeting, the leader should guide the discussion according to the agenda, manage time effectively, and ensure that everyone is engaged and participates in the discussion.
